Supporter Fundraising Guidelines

Thank you so much for considering supporting Foodbank Queensland with your fundraising activity. Before you commence fundraising, please review the following guidelines.

How the funds you raise are used by Foodbank Queensland

At Foodbank, every $1 donated provides 2 meals, so no matter how big or small your contribution, you can make a difference for Queenslanders experiencing a hunger crisis.

We believe all Queenslanders deserve access to good quality food. However, every single day, Queenslanders are going hungry. With the funds you raise, Foodbank can continue to get food where it’s needed most, distributing it to local charities and schools right across Queensland. Our food supplies are provided to thousands of adults and children experiencing hunger every single week. With your support, we can continue this important work and give hope to families in need.

Your key responsibilities

As the organiser of the activity you must accept and adhere to all the guidelines in this document, including:

  • Accept full responsibility to ensure your activity is safe, legal, and appropriate.
  • Accept full responsibility for the coordination and management of the activity, volunteers, associated finances, prizes, publicity, and all communications with Foodbank Queensland and guests/participants/supporters of your activity.
  • As your activity is not an official Foodbank Queensland activity, but rather a personal activity to raise funds for the organisation, you must make it clear that you are independently raising funds to support Foodbank Queensland.

Please note, there are some fundraising activities that Foodbank Queensland cannot be associated with, these include activities which:

  • Promote a high level of personal or public risk.
  • May be interpreted as rude, offensive, or inappropriate.
  • Do not align with our values; Collaboration, Respect, Responsibility, Compassion and Trust
  • Foodbank Queensland is only able to approve fundraising activities that take place in Australia.

How Foodbank Queensland can help you

Once your fundraising activity has been created, we will keep in touch with you by regular email or phone contact to monitor the progress of your fundraiser.  Please remember that being a charity, we have a small team and rely on you as “the fundraiser” to plan and conduct the event. We will support you in any way we can and share our advice on what we have learnt in our own fundraising endeavours.

Ways in which Foodbank Queensland may be able to assist:

  • Creating your fundraising page.
  • Organising the attendance of a Foodbank Queensland representative to your event (dependant on availability).
  • Posters, brochures, donation tins, merchandise (at a cost).

Please note that Foodbank Queensland is not able to provide the following:

  • Reimbursement for any expenses incurred.
  • Contact lists for you to use in promoting your event (due to privacy legislation).
  • Foodbank Queensland staff or volunteers to help coordinate or run your event.
  • Any other general assistance in organising and marketing your event.
  • Applications for permits, licences, or insurances required (these are the responsibility of the fundraiser).
  • Prizes, auction, or raffle items.

Legal Requirements

All fundraising activities must comply with all relevant national, state, territory laws and regulations. In each state and territory, there is a Charitable Fundraising Act or equivalent to which Foodbank Queensland and people fundraising on behalf of Foodbank Queensland must adhere to.

Public Liability Insurance

You will need to consider whether you require insurance to cover your fundraising event to protect both yourself and your participants.

Taking out the appropriate type and level of insurance for your activity is strongly recommended.

Foodbank Queensland cannot allocate funds to cover insurance for fundraising events nor does Foodbank Queensland offer/have the public liability to cover community fundraising events.

Financials

As the activity organiser you are responsible for all financial aspects of the activity, including record keeping, management of funds and sending funds raised to Foodbank Queensland.  Your basic obligations are to ensure that:

  • You keep accurate financial records of your activity.
  • Cash Collections are conducted in public places.
  • Door to door fundraising must not be completed as part of this fundraising activity.
  • All fundraising must be completed within Australia. Foodbank Queensland cannot authorise fundraising outside of Australia.
  • All fundraising will be conducted for untied funds, and Foodbank Queensland will direct to our greatest area of need.
  • Foodbank Queensland should be named as beneficiary of the fundraising activity i.e. ‘proceeds of the event will go to Foodbank Queensland.
  • The conducting of raffles as a fundraising activity is subject to each state’s regulation.
  • In situations where it is not possible to submit funds via your fundraising page, all funds raised must be sent to Foodbank Queensland within 14 days of completion of the fundraising activity (see section on Receipting below). 
  • Please note, Foodbank Queensland cannot pay or reimburse any expenses incurred by you as a result of the fundraising activity. However, you can deduct your expenses from the proceeds of the activity, provided this is properly documented.  Foodbank Queensland would recommend that the total expenses should not exceed 30% of total proceeds.

Food, Materials or Toy Donations

Foodbank Queensland is not able to accept materials (such as clothes) or toys from individuals. Receipting

Unless there are extenuating circumstances, we expect all funds to be submitted via your Fundraising Page.  Your supporters will automatically receive a tax receipt when they donate through your page for all donations of $2 or more. If your event involves you collecting funds which are intended as a one-off donation once the event is complete, for example a bake sale, we still request that you submit the donation through your page.  If for some reason it is not possible for you to donate through the website, please contact the fundraising team for alternatives to deposit the funds, after which a receipt will be issued once the funds are received.  

Please note:

  • You cannot claim a personal tax deduction for funds received and/or donated on behalf of others.
  • You cannot claim a tax deduction for gifts that are donated to your activity and are not ‘true’ donation i.e., buying a ticket for a fundraising event is not tax deductible.

Use of logos & communications

In the Resources section, Foodbank Queensland provides fundraising assets in accordance with our use and brand guidelines. The logo can only be used to promote the activity for the dates stipulated for your event.

Please note, Foodbank Queensland must approve any reference to the organisation’s name or logo before going to print or publication, if relevant to your event.
